Practice Performance

What Are Your Practice Numbers Trying to Tell You?

Let’s be honest, keeping track of practice numbers isn’t exactly why you became a pediatric therapist.

You may know your completed visits, billable hours and how many kiddos are on the schedule. But knowing the numbers and knowing what the heck they’re telling you are two very different things.

Why did billable hours drop? What helped collections improve? What’s going on with the percentage of arrivals? Is there something starting to go sideways that you could catch now—before it erupts into a full-blown problem?

Practice Performance teaches you how to get behind the numbers, spot what needs your attention and know what to do about it.

No math degree—or love of spreadsheets—required.

Who Practice Performance Is For

Practice Performance is for pediatric private practice owners and leadership teams who:

  • Aren’t sure what numbers matter
  • Get KPI reports but can’t analyze them
  • Have a fantastic month but aren’t sure what went right—or how to do it again
  • Don’t spot a problem until it’s already become a five-alarm fire
  • See everyone running around like crazy without getting the desired results
  • Rely on gut instinct to figure out how the practice is doing
  • Struggle to give staff clear, measurable goals
  • Want the team to take more responsibility for getting results
  • Want a clearer picture of whether the practice is actually growing and becoming profitable
  • May eventually sell and need a reliable record that shows how the practice has performed

You were trained to help kiddos—not crack the code on a spreadsheet. You just need someone to show you which numbers matter, what they mean and what the heck to do with them.

What We Work On

Together, we help you:

  • Identify the KPIs that matter most to your practice
  • Set up a workable tracking system you’ll actually use
  • Give your team clear, realistic targets
  • Catch problems before they become five-alarm fires
  • Find out why performance changed instead of guessing or hoping for the best
  • Identify what’s working so you can repeat it
  • Use checklists for easy implementation
  • Discuss performance in a way that keeps your team motivated and focused on kiddos

Go Beyond Knowing the Numbers

A report may tell you billable hours dropped or your arrival rate is slipping. In fact, your EMR may already provide KPI reports.

Your EMR can spit out reports all day long. That doesn’t mean you know what the heck the numbers are trying to tell you.

Practice Performance teaches you how to investigate a change, find the cause and know what to do about it. When performance improves, you’ll know what to repeat. When it slips, you’ll know what to correct.

Which numbers should you watch? What should they be? Is this one bad week or a problem brewing? What other numbers should you look at? Who’s responsible—and what do you do now?

The gap isn’t access to data. The gap is management know-how.

Once you know what you need to track and why, you can align your EMR reporting with the way you actually manage your practice.

Give Your Team a Clear Target

“Do your best to fill the schedule” isn’t a clear target.

Specific goals tell your team exactly what they need to achieve. They can see how close they are, follow the appropriate checklist and keep working until they get there.

That isn’t telling people to work harder. It’s giving them direction—so expectations are set and you don’t have to keep stepping in.

Keep the Focus on Kiddos, Not Spreadsheets

Your clinicians didn’t choose pediatric therapy because they wanted to talk about KPIs. They chose it because they love helping kiddos.

More completed visits mean more kiddos receive care. Fewer schedule holes mean a child on the waitlist may get in sooner. Better referral follow-up means fewer families fall through the cracks.

We show you how to connect the numbers to the purpose behind them, so your team understands this isn’t simply about revenue. It’s about keeping the practice strong enough to help more kiddos and families.

What You Walk Away With

You’ll leave with:

  • A clear set of KPIs that tell you how each area of the practice is actually doing
  • A practical tracking system you’ll really use
  • Specific targets so staff and leadership know exactly what they need to achieve
  • Tools to help you figure out why the numbers changed instead of guessing
  • More confidence when making those big—and not-so-big—management decisions
  • A clearer picture of whether your practice is healthy, growing and profitable
  • A reliable performance history that helps show what your practice is worth if you decide to sell

In plain English: you’ll stop merely collecting numbers and start using them to manage your practice.

How Practice Performance Works

Practice Performance is one of our programettes—a smaller, focused coaching program you can tackle right away. It’s designed to be easy to move through, practical to implement and very affordable, so you can immediately address a particular aspect of the practice.

Practice Performance is delivered through 10 hours of one-on-one accountability coaching for you or your leadership team on Zoom.

The schedule is flexible and based on your practice’s needs. If you don’t complete the program within the initial 10 hours, coaching continues in additional five-hour packages until you do.

You’ll also receive practical checklists to make implementation easier.
